The Application is designed as a cross-platform mobile fax solution and may be available on iOS, Android, and other supported platforms. The Application allows users to prepare, scan, upload, edit, send, receive, manage, and store fax-related documents using mobile tools, cloud infrastructure, telecommunications providers, temporary fax numbers, and platform-specific billing systems. Because fax documents may contain personal, business, financial, medical, legal, government, employment, or otherwise sensitive information, we aim to explain our data practices in a clear and transparent manner. By installing, accessing, purchasing, subscribing to, or using the Application, you acknowledge that your information may be processed as described in this Privacy Policy.
1. Data Controller Identification
Stepa Mobile FZE LLC acts as the primary data controller for personal information processed through the Fax application. We determine the purposes and means of processing information required to provide mobile fax services, account access, document handling, customer support, billing verification, analytics, security, fraud prevention, and technical maintenance. Our role includes deciding what information is necessary for the Application to function, how long such information should be retained, and which trusted service providers may process it on our behalf. We take responsibility for implementing reasonable safeguards and responding to applicable privacy requests. 2. Scope of This Privacy Policy
This Privacy Policy applies to the Fax application developed for iOS, Android, and other supported mobile platforms, together with related backend services operated by Stepa Mobile FZE LLC. It covers information processed through the Application itself, related cloud systems, customer support channels, subscription verification systems, document processing tools, temporary fax number services, and fax transmission infrastructure connected to the Application. This Policy does not apply to third-party websites, telecom carriers, external fax recipients, app stores, payment processors, advertising networks, cloud providers acting under their own policies, or any external service that independently determines how it processes your information. Your use of the Application may also be subject to separate rules and privacy practices imposed by Apple, Google, your device manufacturer, your mobile operator, your internet provider, and other third parties.
3. Cross-Platform Processing
The Application may operate differently depending on whether you use it on iOS, Android, or another supported platform. iOS devices may involve Apple ID, App Store billing, iOS permission prompts, iCloud-related device behavior, Apple push notification infrastructure, and Apple system privacy controls. Android devices may involve Google Account, Google Play billing, Android permission prompts, Google Play services, Android notification infrastructure, and device manufacturer settings. We process platform-related information only as needed to provide the Application, verify purchases, manage subscriptions, restore entitlements, deliver notifications, operate security controls, and ensure compatibility. Platform-specific settings may affect what information is available to us and which features work on your device.
4. Consent and Legal Basis
We process personal information based on several legal grounds, including your consent, the need to perform a contract with you, compliance with legal obligations, and our legitimate interests in operating, securing, and improving the Application. When you choose to upload a document, scan a page, enter a fax number, purchase fax credits, request a temporary fax number, receive a fax, or send a fax, you authorize us to process the information necessary to complete that action. Certain permissions, such as camera access, file access, photo library access, notifications, or contact access, depend on choices you make through iOS or Android system controls. You may withdraw permissions at any time through your device settings, although doing so may limit or disable important parts of the Application. Withdrawal of consent does not affect processing that was lawful before the withdrawal.
5. Account and Service Information
The Application may collect account-related information such as your email address, subscription status, purchase identifiers, platform account metadata, device identifiers, app version, support messages, region, preferred language, and technical account information. This information allows us to recognize your access to paid features, restore purchases, provide customer support, prevent unauthorized access, maintain service continuity, and troubleshoot technical issues. We do not require unnecessary profile details unless they are needed for a specific feature, support request, billing verification, fraud investigation, or legal obligation. If you contact us by email, we may retain your message, contact details, attachments, and related correspondence to investigate your request and maintain a support record. Account information may also be connected to fax history or temporary number access where required for the Application to function.
6. Apple App Store and iOS Purchase Data
If you purchase a subscription, fax credits, premium tools, temporary number access, or other paid functionality through the Apple App Store, Apple generally processes the payment through your Apple ID. We do not receive your full payment card number from Apple. We may receive or process purchase-related metadata such as product identifiers, transaction identifiers, subscription status, renewal status, cancellation status, refund status, entitlement status, receipt validation data, country or region information, and other technical purchase information required to activate, restore, validate, or manage paid features. This information is used to provide access to paid functionality, prevent fraud, respond to support requests, manage subscription-related access, and comply with platform requirements.
7. Google Play and Android Purchase Data
If you purchase a subscription, fax credits, premium tools, temporary number access, or other paid functionality through Google Play, Google generally processes the payment through your Google account. We do not receive your full payment card number from Google Play. We may receive or process purchase-related metadata such as product identifiers, purchase tokens, order identifiers, subscription status, renewal status, cancellation status, refund status, entitlement status, country or region information, and other technical purchase information required to activate, restore, validate, or manage paid features. This information is used to provide access to paid functionality, prevent fraud, respond to support requests, manage subscription-related access, and comply with platform requirements.
8. Refund-Related Processing
Refund requests for purchases made through the Apple App Store or Google Play may be handled by the relevant platform according to its own rules and procedures. We may process refund-related metadata when Apple, Google, or another payment provider communicates that a purchase has been refunded, reversed, cancelled, disputed, charged back, or otherwise modified. This information may be used to update your access to paid features, remove entitlements, restore account accuracy, prevent refund abuse, investigate billing disputes, and respond to customer support requests. We do not receive all details of your payment method or complete platform account information. Where the platform controls the transaction, the platform may determine refund eligibility and may process the request independently from us.
9. Restore Purchases and Entitlement Verification
The Application may provide functionality to restore purchases or verify entitlements across devices, app installs, or supported platforms. Restoring purchases may require communication with Apple, Google, or another payment provider to confirm whether your subscription, purchase, or premium access remains valid. We may process receipt data, purchase tokens, subscription identifiers, product identifiers, account identifiers, device identifiers, and technical verification results. Restoration may not work if you use a different platform account, different store region, expired subscription, refunded purchase, cancelled entitlement, unsupported product, or unsupported cross-platform setup. We use entitlement verification to ensure that paid features are provided only to users with valid access.
10. Temporary Fax Numbers
The Application may provide access to temporary fax numbers for receiving fax documents where this feature is available. Temporary fax numbers are provided on a limited, revocable, non-exclusive, and service-dependent basis. Such numbers may expire, rotate, become unavailable, be suspended, or be reassigned depending on subscription status, account activity, region, telecom partner availability, number pool capacity, technical requirements, legal obligations, platform restrictions, or internal service rules. Unless the Application expressly states that a permanent number is being provided under a specific paid plan, you should treat any fax number as temporary. If a fax is sent to a number after it has expired, been cancelled, suspended, reassigned, or become unavailable, we may be unable to retrieve, deliver, or restore that fax.
11. Fax Number Assignment and Availability
Fax number availability depends on third-party telecom infrastructure, local number pools, regional coverage, routing capacity, regulatory requirements, service provider rules, subscription status, and technical conditions. We do not guarantee that a specific fax number, area code, country code, city code, or region will always be available. Even when a number is displayed in the Application, its continued availability may depend on your active subscription, platform purchase verification, account status, fair use compliance, telecom partner availability, and technical conditions outside our direct control. We may withdraw, rotate, replace, or disable numbers if required by law, telecom partners, anti-abuse controls, security concerns, or operational necessity. Users are responsible for checking the current status of any assigned or temporary fax number before relying on it for important communications.
12. Sending Fax Documents
When you send a fax through the Application, we may process the document file, recipient fax number, sender details, cover page content, transmission settings, timestamps, page count, retry attempts, billing status, purchase entitlement status, and technical delivery metadata. This processing is necessary to convert your document into a fax-compatible format, transmit it through fax infrastructure, confirm delivery status, retry failed attempts where available, and display a record of the transaction in the Application. Fax transmission may involve third-party gateways, telecom carriers, cloud processors, routing partners, and receiving fax systems. We process fax transmission data to provide the service, troubleshoot failures, prevent misuse, verify paid usage, enforce service limits, and respond to support requests. Delivery status does not guarantee that the recipient reviewed, accepted, printed, stored, or legally recognized the document.
13. Receiving Fax Documents
If receiving functionality is available, incoming faxes may be routed through temporary or assigned numbers linked to your account, subscription, device, platform entitlement, or active session. Received documents may include fax page images, sender number, transmission time, page count, delivery status, routing metadata, and other technical information required to make the fax available to you. We may store received faxes for a limited period so that you can open, download, share, delete, or manage them through the Application. If your number expires, your subscription ends, your purchase is refunded, your account is restricted, your platform entitlement is removed, or the receiving service becomes unavailable, future incoming faxes may not be delivered to you. Users should download and securely store important received documents outside the Application when long-term retention is required.
14. Document Uploads and File Processing
The Application may allow you to upload, import, scan, photograph, merge, crop, rotate, compress, or convert documents for fax transmission. These documents may include PDFs, images, forms, contracts, invoices, prescriptions, identification documents, business records, legal notices, financial paperwork, medical materials, government forms, or other files selected by you. To prepare such files for faxing, the Application may process them locally on your device or through secure backend systems, depending on the feature and technical requirements. Processing may include image enhancement, page border detection, format conversion, file size reduction, orientation correction, contrast improvement, page ordering, and rendering into a fax-compatible format. We do not claim ownership of documents you upload, scan, create, or transmit through the Application.
15. Sensitive Document Content
Fax documents may contain highly sensitive information, and you are responsible for deciding whether it is appropriate to process such information through the Application. The Application is a general mobile fax tool and is not intended to replace specialized legal, medical, financial, government, enterprise compliance, archival, or regulated document management systems unless expressly stated in a separate written agreement. We do not review fax content for professional accuracy, legal sufficiency, medical compliance, financial validity, regulatory completeness, or recipient acceptance. You should ensure that you have the right to send, receive, upload, store, or share any document before using the Application. We recommend verifying recipient numbers carefully before transmission, especially when sending documents containing confidential or sensitive information.
16. Camera Access and Document Scanning
The Application may request access to your device camera so that you can scan physical documents, capture pages, create fax-ready images, and improve readability before transmission. Camera access is used when you actively choose to capture a document or use scanning functionality. We do not continuously record video, monitor your environment, or access the camera in the background for unrelated purposes. Captured images may be processed to detect page edges, correct perspective, improve contrast, remove shadows, and prepare the document for fax transmission. You can revoke camera permission at any time through iOS or Android system settings, but doing so may prevent scanning and related features from working.
17. File, Photo Library, and Storage Permissions
The Application may request access to selected files, photos, media, document picker items, or storage locations on your device so that you can import documents for faxing or save received faxes. On iOS, this may include access through the Files app, photo picker, limited photo library permissions, or document import tools. On Android, this may include access through file picker, media permissions, storage permissions, or Android system document providers. The exact scope of access depends on your operating system version, device manufacturer, system permission model, and choices made in permission dialogs. We do not intentionally scan your entire device storage for unrelated documents, photos, or private files. When you select a file, the Application may process that file for preview, conversion, fax preparation, transmission, and storage in your fax history.
18. Contact List Access
If the Application provides a feature for selecting recipients from your device contacts, it may request permission to access your contact list. Contact access is used to help you choose fax recipients, reduce manual entry, and avoid typing mistakes when entering names or numbers. We do not use your contact list for unrelated advertising, social networking, or behavioral profiling purposes. The Application may process only the contact details necessary to support the feature you choose to use, subject to iOS or Android permission controls. You can deny or revoke contact access through system settings, although doing so may require manual entry of recipient information.
19. Recipient Information
To send a fax, you may enter or select recipient information, including a fax number, recipient name, company name, department name, address details, or other delivery instructions. This information is used to prepare and route the fax, generate a cover page where applicable, display transmission history, and help you identify previous recipients. Recipient information may be stored in your fax history or account records for convenience, support, fraud prevention, and operational auditing. We do not verify whether a recipient number belongs to the intended person or organization. You are responsible for checking the accuracy of recipient information before sending a fax.
20. Fax Transmission Logs
We may collect and store fax transmission logs that include sender information, recipient number, timestamps, page count, file metadata, delivery attempts, success or failure status, error codes, gateway responses, retry activity, purchase entitlement status, and technical routing information. These logs are necessary to show transmission history, diagnose failed deliveries, confirm account usage, verify subscription or credit consumption, respond to support requests, prevent abuse, and maintain service reliability. Transmission logs may not include the full content of the fax in every case, but they may still be considered personal information depending on context. We retain such logs only as long as necessary for operational, billing, security, support, and legal purposes. Deleting a visible fax entry may not immediately remove all backend technical records associated with the transmission.
21. Delivery Confirmation and Limitations
The Application may display delivery statuses such as pending, processing, sent, delivered, failed, cancelled, expired, or unavailable. These statuses are based on information received from fax gateways, telecom infrastructure, platform entitlement checks, and internal systems. A status showing that a fax was delivered means that the transmission was reported as completed to the receiving endpoint, but it does not guarantee that the recipient personally reviewed, printed, accepted, filed, or acted upon the document. Fax communication depends on legacy systems, phone lines, receiving devices, busy signals, incorrect numbers, carrier routing, platform availability, and recipient-side configurations. For critical communications, you should independently verify receipt with the intended recipient.
22. Device Metadata and Technical Logs
The Application may collect technical metadata from your device, including device model, operating system version, app version, platform type, language setting, time zone, screen size, crash logs, session duration, network type, and technical identifiers. This information helps us maintain compatibility across iOS and Android devices, diagnose crashes, optimize performance, detect bugs, and provide a stable faxing experience. Device metadata is generally technical in nature and is not collected for the primary purpose of identifying your personal identity. However, some technical identifiers may be linked to your account, subscription, platform purchase, or support history where necessary. We may aggregate such information to understand broader performance trends without directly identifying individual users.
23. Push Notifications
The Application may use push notifications to inform you about fax delivery status, incoming faxes, failed transmissions, number expiration, subscription updates, credit usage, security alerts, or important service changes. To send notifications, we may collect and process a push notification token associated with your device. On iOS, notification delivery may involve Apple Push Notification service. On Android, notification delivery may involve Google or device-specific notification infrastructure. A push token does not contain the content of your fax documents, but it allows notification services to deliver messages to your device. You can disable notifications through iOS or Android system settings or through in-app notification controls where available.
24. Analytics and Product Improvement
We may use analytics tools to understand how users interact with the Application, including feature usage, screen flows, subscription conversion, scan completion, fax sending success rates, error frequency, session length, platform distribution, and general performance. Analytics help us identify which features are useful, where users experience technical problems, and how we can improve the reliability of fax transmission and document preparation. Where possible, analytics data is collected in aggregated or pseudonymized form. We do not use analytics tools to read, analyze, or sell the content of your fax documents for advertising. You may have the ability to limit analytics through device settings, privacy controls, App Tracking Transparency prompts, advertising identifier settings, or in-app options depending on your platform and Application version.
25. Advertising and Monetization Partners
The Application may display advertisements, promotional offers, or sponsored placements through third-party advertising networks. Advertising partners may process device-level identifiers, approximate location, ad interaction data, app usage signals, and technical information to deliver, measure, limit, or personalize ads where permitted by law and platform rules. We do not share the content of your uploaded documents, scanned pages, sent faxes, received faxes, or fax attachments with advertising partners for targeting purposes. You may be offered a paid subscription or premium version that removes ads or unlocks additional fax functionality. Advertising practices may vary depending on your region, consent settings, iOS App Tracking Transparency status, Android advertising identifier settings, and applicable privacy laws.
26. Third-Party Service Providers
We may use third-party service providers to operate essential parts of the Application, including cloud hosting, fax routing, telecom connectivity, document conversion, file processing, analytics, crash reporting, subscription validation, receipt verification, customer support, fraud prevention, storage, advertising, and infrastructure monitoring. These service providers may process information only as needed to perform services on our behalf or as otherwise permitted by law. We require reasonable confidentiality and security obligations from service providers that handle personal information. Because fax transmission requires interaction with external infrastructure, certain metadata may pass through telecom carriers or fax gateways outside our direct control. We do not authorize service providers to use your fax document content for their own advertising purposes.
27. Data Retention Policy
We retain personal information only for as long as necessary to provide the Application, maintain fax history, verify purchases, comply with legal obligations, resolve disputes, prevent fraud, enforce service limits, and protect our systems. Different categories of information may be retained for different periods depending on their purpose. Fax documents, temporary number records, delivery logs, account metadata, support communications, platform purchase metadata, billing-related records, and refund-related metadata may have separate retention timelines. Temporary fax numbers and related routing information may be deleted, expired, or reassigned after the relevant access period ends. Some information may remain in encrypted backups for a limited period before being overwritten or permanently deleted.
28. Deletion of Fax Documents
The Application may allow you to delete sent faxes, received faxes, drafts, scans, cover pages, attachments, or fax history entries. When you delete an item from the Application, it may no longer be visible to you, but related technical logs, billing records, refund records, platform entitlement records, backup copies, or security records may remain for a limited period where necessary. We take reasonable steps to delete or anonymize information when it is no longer required for the purposes described in this Policy. We may need to verify your identity and may be unable to delete information that must be retained for legal, billing, fraud prevention, platform compliance, or dispute resolution purposes.
29. Local Device Storage
Some information may be stored locally on your iOS or Android device, including drafts, cached previews, scanned documents, temporary files, preferences, session state, downloaded fax documents, and app settings. Local storage allows the Application to function more efficiently and provide faster access to recent documents or settings. Information stored locally may remain on your device until you delete it, clear app data, uninstall the Application, use available in-app deletion controls, or modify system-level storage settings. Other apps, device backups, iCloud, Google backup services, or system-level tools may interact with local files depending on your device configuration. You are responsible for securing your device with appropriate passwords, biometric locks, encryption, and account protections.
30. Backup Copies and Technical Recovery
Information processed through the Application may be included in encrypted backups maintained for technical reliability, disaster recovery, business continuity, and security purposes. Backup copies are not intended for ordinary user access and may be retained for a limited period before being overwritten or deleted according to backup cycles. When you delete information from the active system, it may not be immediately removed from all backup environments. We restrict access to backups and use them only when needed to restore service, investigate technical incidents, comply with legal obligations, or maintain operational resilience. Backup retention is designed to balance user privacy with technical continuity.
31. Security and Encryption
We use reasonable technical and organizational measures to protect information processed through the Application. These measures may include encryption in transit, secure hosting, access controls, logging, monitoring, authentication, internal permission limits, and vendor security review where appropriate. However, no method of electronic transmission or storage can be guaranteed to be completely secure. Fax technology may involve legacy telecom infrastructure, receiving fax machines, phone lines, office systems, and third-party endpoints that are outside our direct control. You should avoid sending documents through fax if you are not comfortable with the security characteristics of fax communication or the recipient’s document handling practices.
32. Fraud Prevention and Abuse Monitoring
We may process technical, usage, purchase, and transmission data to detect, prevent, investigate, and respond to fraud, spam, unauthorized fax campaigns, payment abuse, refund abuse, account sharing, service manipulation, suspicious transmission volume, attempts to bypass limits, and attacks against our systems. This processing may include monitoring IP addresses, device identifiers, session activity, fax volume, failed attempts, recipient patterns, purchase behavior, refund history, subscription status, and gateway responses. We may suspend, restrict, or terminate access to features, including temporary fax numbers, if we believe the Application is being misused. Fraud prevention helps protect legitimate users, telecom partners, recipients, platform partners, and our technical infrastructure. Security-related logs may be retained for a reasonable period to support investigations and prevent repeated abuse.
33. Automated Processing
The Application may use automated processing to convert files, detect document edges, enhance image quality, compress documents, organize pages, identify failed transmissions, assign temporary numbers, manage routing, verify purchases, enforce service limits, and detect suspicious activity. This automated processing is used to provide operational functionality and improve service reliability. We do not use automated decision-making that produces legal or similarly significant effects on users, such as determining eligibility for employment, credit, housing, healthcare, or government benefits. Automated systems may affect technical access to certain features where required for fraud prevention, subscription verification, refund abuse prevention, service stability, or platform compliance. You may contact us if you believe automated processing has incorrectly affected your account or access.
34. International Data Transfers
Your information may be transferred to, stored in, or processed in countries other than the country where you live. These countries may have privacy and data protection laws that differ from those in your jurisdiction. We may use cloud hosting providers, telecom partners, analytics services, support tools, platform verification services, advertising providers, and infrastructure vendors located in different regions. Where required by applicable law, we take reasonable steps to apply appropriate safeguards to international transfers of personal information. By using the Application, you acknowledge that cross-border processing may be necessary to provide mobile fax services.
35. Rights of European Users
Users located in the European Economic Area, the United Kingdom, Switzerland, or similar jurisdictions may have rights under applicable data protection laws. These rights may include the right to access personal information, correct inaccurate information, request deletion, restrict processing, object to certain processing, withdraw consent, and receive a portable copy of data. 36. Rights of California Residents
California residents may have specific rights under applicable privacy laws, including the right to know what personal information is collected, the right to request deletion, the right to correct inaccurate information, the right to opt out of certain sharing, and the right to limit the use of sensitive personal information where applicable. We do not sell the content of fax documents, scanned files, uploaded documents, or received faxes for monetary compensation. Some advertising or analytics activities may be considered sharing under certain laws, depending on your region and settings. 37. Children’s Privacy
The Application is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. Fax services may involve sensitive documents, legal materials, business communications, financial paperwork, medical information, government forms, or other content that is not appropriate for unsupervised use by children. If a parent or guardian believes that a child has provided personal information through the Application without proper consent, they should contact us at [email protected]. If we learn that we have collected personal information from a child in violation of applicable law, we will take reasonable steps to delete it. Users who are minors in their jurisdiction should use the Application only with appropriate parental or guardian involvement.
38. No Biometric Data Collection
Stepa Mobile FZE LLC does not intentionally collect, store, or process biometric identifiers through the Application. Camera access, where used, is intended for document scanning and image capture rather than facial recognition, fingerprint analysis, iris scanning, or biological identification. We do not use biometric data to identify users. Any biometric authentication provided by your device, such as Face ID, Touch ID, fingerprint unlock, or face unlock, is handled by the operating system or device manufacturer, not by us, unless a specific in-app feature clearly explains otherwise. We do not receive your biometric template from Apple, Google, or your device manufacturer.
39. Microphone and Audio Privacy
The Application does not require microphone access for core fax functionality. We do not record, listen to, or process your conversations or environmental audio for fax transmission. If a future feature requires audio access, it will be introduced only with appropriate notice and permission. You can review and manage microphone permissions through iOS or Android system settings. Denying microphone access will not normally affect basic fax sending or receiving functionality unless a future optional feature depends on audio.
40. Data Portability and Access Requests
You may request a copy of personal information associated with your account where required by applicable law. Depending on technical availability and legal limitations, this may include account metadata, subscription status, purchase-related identifiers, fax history metadata, support communications, temporary number records, and other information reasonably associated with your account. Document content may be provided where it remains available, where disclosure is technically feasible, and where providing it would not compromise the rights or privacy of others. We may decline or limit requests where permitted by law, including requests that are excessive, unverifiable, unlawful, or harmful to security.
41. Correction of Information
If you believe information associated with your account is inaccurate, you may request correction. Some information, such as recipient names, fax numbers, cover page details, saved preferences, or account settings, may be editable directly through the Application. Other information may require manual assistance from our support team. We may preserve original records where necessary for fraud prevention, billing, platform entitlement verification, transmission auditing, legal compliance, or dispute resolution. 42. Third-Party Recipients and External Systems
Once a fax is delivered to a recipient number, the handling of that document by the recipient is outside our control. The recipient may print, store, forward, scan, copy, archive, misplace, disclose, or otherwise process the fax according to their own policies and practices. We are not responsible for the privacy or security practices of receiving fax machines, recipient organizations, telecom carriers, office staff, external mailrooms, email-to-fax services, or document management systems used by recipients. You should confirm the recipient number and recipient identity before sending any confidential or sensitive document. For important communications, you should independently verify that the intended recipient received and accepted the fax.
43. Government and Legal Requests
We may disclose information if required by law, court order, subpoena, regulatory demand, government request, platform compliance process, or other valid legal procedure. When possible, we review such requests to ensure they are legally valid, properly scoped, and directed to the correct entity. 44. Corporate Restructuring
